Preamble
Connextek is subject to the Act respecting the protection of personal information in the private sector.
Connextek recognizes the importance of respecting privacy and is committed to limiting the collection of information to what is necessary. This policy aims to inform you of the guidelines established to protect the personal information you entrust to Connextek, whether via the web or any other means, in compliance with the law.
1. General Principles
As part of its activities, and with your consent, Connextek may collect personal information to use it for the purposes described in section 6.
The objective of this policy is to clearly explain how Connextek collects and processes your personal information, including data you provide when joining as a member, making a donation, or subscribing to our newsletter, for example.
This policy and the personal information management practices apply to the entire organization, including all Connextek employees and volunteers.
2. Definition
Personal information is any data that concerns an individual and allows them to be identified, directly or indirectly. Regardless of its format or accessibility (written, graphic, audio, visual, digital), all personal data is covered by this policy. However, this does not include professional contact details or data that has been anonymized for legitimate and serious purposes.

Your consent to the communication or use of your personal information must be given explicitly. It will be valid for the purposes mentioned in this policy as well as for specific purposes mentioned at the time of consent, if applicable. The consent will remain valid for the duration necessary to achieve the objectives specified in the consent or the purposes stated in section 6 of this policy. Your consent may be withdrawn at any time, as indicated in section 8.3 of this policy.
4. Personal Information That Connextek May Collect About You
Connextek may collect, store, use, transfer, and disclose various types of personal information about you, grouped as follows:
- Identity Data: First name, last name, title, username or similar identifier, date of birth, gender, marital status, and information on a valid ID, such as a driver’s license, and, for tax purposes, social insurance number or passport;
- Contact Data: Mailing and/or delivery address, billing address, email address, and phone number;
- Payment Data: Credit or debit card details and checks;
- Donation Data: Details and history of donations made;
- Service Data: Details about the services you have obtained from Connextek;
- Technical Data: Internet Protocol (IP) address, login data, browser type and version, time zone and location settings, browser plug-in types and versions, operating system and platform, and other technologies on devices you use to access our websites;
- Usage Data: Information on how you use our websites and services;
- Marketing and Communication Data: Preferences regarding communications from us and third parties, and communication preferences. This also includes notes on conversations we have had with you in person and/or communications you have sent to Connextek. This helps us manage our relationship with you and ensure you receive only relevant and tailored communications;
- Job Applicant Data: Any data you have submitted through a job application.
5. How Connextek Collects Your Personal Information
Connextek collects various personal information in multiple ways.
5.1. Information You Provide
Personal information is primarily collected when you use Connextek’s services and voluntarily share your personal information.
5.2. Automated Technologies or Interactions
When you interact with Connextek’s websites, technical data about your device, actions, and navigation patterns may be collected with your consent using cookies and other similar technologies.
Using cookies is a common practice. These are files that store certain data about a visitor to a website. Cookies are stored on the user’s computer or another device’s hard drive; they allow Connextek to tailor your experience each time you visit our websites. If cookies are disabled, some functions of our websites may not be accessible.
Connextek’s websites contain hyperlinks to other websites. Information exchanged on these sites is not subject to this privacy policy.

Connextek occasionally receives information about you from third parties, as outlined below:
- Analytics providers such as Google Analytics;
- Advertising networks such as Facebook, Instagram, YouTube, and LinkedIn;
- Search information providers such as Google;
- Publicly accessible information about you.
6. Purposes of Collecting Personal Information
The personal information you provide to Connextek will be used exclusively for the following purposes:
- Tracking your publication order;
- Communicating with you periodically in writing, verbally, or electronically to inform you about Connextek’s activities and events;
- Soliciting your participation in a survey;
- Identifying and authenticating you in Connextek’s IT and cloud system to facilitate transactions;
- Maintaining and analyzing statistics on its customers, members, and partners to improve its websites, services, and communications;
- Providing relevant content and advertisements on external websites, social platforms, or in newsletters, and measuring ad effectiveness;
- Allowing Connextek to provide a service tailored to the needs of its members and partners;
- Receiving and analyzing a job application submitted as part of a recruitment process.
7. Use, Retention, and Disclosure of Your Personal Information
7.1. Use of Your Personal Information
Your personal information will only be used for the purposes for which it was collected, as specified in section 6.
7.2. Retention of Your Personal Information
Your personal data will be kept confidential for as long as necessary for the purposes for which it was collected, including to meet any legal, accounting, or reporting requirements.
Your personal information will be stored physically at Connextek’s premises, digitally on Connextek’s IT equipment, or digitally in Connextek’s cloud system.
Connextek ensures the protection of your personal information at all times through appropriate security measures, whether physical, organizational, or technological. Connextek also ensures that access to personal information is limited to authorized individuals, according to the security levels specified in section 7.4.
7.3. Disclosure of Your Personal Information
Connextek may disclose your personal information to third parties in the following cases:
- To service providers who, under a service contract, assist Connextek in its activities for purposes allowed by law. Connextek does not authorize its third-party service providers to use your personal information for their own purposes and only allows them to process it for specific purposes and in accordance with our instructions;
- In cases where, under the Act respecting the protection of personal information in the private sector, the communication of personal information is possible without prior authorization.
- Connextek ensures, to the best of its ability, that these third parties comply with the rules and commitments of this policy by taking necessary measures.
7.4. Accessibility by Staff
Connextek has implemented measures to ensure the highest protection of your personal information. Three security levels have been defined:
- Very High Level: Personnel category with access to all your personal information
- High Level: Personnel category with access to some of your personal information
- Basic Level: Personnel category with access to minimal personal information
8. Your Legal Rights
8.1. Right to Access Your Personal Information
Connextek allows you, subject to the conditions and exemptions provided by law, to access the personal information it holds about you. Upon request, Connextek will inform you of the personal information it holds and how it is used, and will allow you to consult it.
8.2. Right to Correct or Delete Personal Information
It is possible to correct the personal information that Connextek has collected when this information is inaccurate, incomplete, ambiguous, outdated, or not justified by the purposes described in section 6 of this policy.
It is also possible to request the deletion of any confidential information collected in a manner that does not comply with the law.
8.3. Right to Withdraw Consent
In cases where Connextek relies on your consent to process your personal information, you have the right to withdraw your consent at any time. However, this will not affect the legality of any processing carried out before your consent was withdrawn. If you withdraw your consent, Connextek may not be able to provide certain services to you.
9. Requests and Complaints
Any request for access, correction, or deletion, or any complaint regarding the implementation of this policy must be made in writing and accompanied by proof of identity.

Upon receiving a request or complaint, Connextek will strive to respond within 30 days. Occasionally, it may take up to 60 days to respond to your request, for example, if it is particularly complex or if you have made multiple requests. In such cases, Connextek will inform you.

12. Declaration
After reading this Data Privacy Policy and confirming their adherence to it, any individual affected by the collection of personal information about them acknowledges that they had the opportunity to refuse Connextek’s collection of their information and also confirms:
- That they accept that Connextek collects and shares personal information about them to achieve the purposes described in section 6 of this policy;
- That they accept that certain information about them may be shared with third parties or Connextek partners solely for the purpose of achieving the objectives described in section 6 of this policy;
- That they understand this consent is revocable.
